Accident Module

This optional module seamlessly integrates with FleetFocus main Module.


The accident Module offers a high degree of control in Accident management including expedition of repairs, recovery and credits management. A wide variety of Accident analysis facilities, both Financial and Incidence is given.

The module may or may not link to the optional Drivers module, but the 'Main' module must always be installed.

The Accident Master file holds a considerable amount of detail relevant to each accident. Accident Details are located in four discrete sections:- General Details, Financial Details, ThirdParties / Witnesses, and User-Defined fields (if any), (Tabs 1,2,3, and 4 respectively). An accident record may be Inserted, Changed, and Deleted, at any time.

Many of the fields proferred for entry depend upon 'Descriptor' entries being available in the System Control file to ensure consistency and accuracy of input data Each such field has an associated button, Left MouseClick on which allows selection from existing values on the System Control file, whereas Right MouseClick allows a new value (for that topic) to be created 'on-the-fly' and inserted into the Control file, simultaneously returning the created value to the current field.
Fields highlighted with Red captions are mandatory fields.
Where the Drivers Module is installed the 'Driver' button allows selection from the DRIVERS' DataBase; otherwise key the Name AND Index Name directly. Where a driver is selected from the Drivers Database, his/her Full Name, Index Name, Licence Number, and deduced age are automatically returned.
Other fields are self-evident, with generously sized Accident and Damage narrative / comments fields.

The 'Garages' button allows an unlimited number of Repairing garages to be declared for the accident. Details of these garages are held on a 'linked' file relative to the accident in question. Details held for each garage are :- the Garage Name , the 'Reason' for the work, Start Date, Authorised Date, Estimated and Actual costs, Invoice Number, Date Passed, and the Garage's own internal reference or Job Number (if any).
The full garage name and address are held on the System Addresses file in which new entries may be created as required.
Similarly the 'Credits' button allows an unlimited number of 'Sources of Credit' (or recovery) to be declared. Details held are the Name , the 'Reason' for the credit, Date, Value, and Invoice/Cheque reference in free-format. The full name (and address, if any) is held on the System Addresses file.
On the 'Payments' side the fields entitled 'Insurance Excess' and 'Solicitor's Costs' are fixed fields with static captions and usage, and on the Credits / Recovery side 'Excess Paid by Driver' is also fixed.
Both Payments and Receipts/Recovery may, in addition, have up to six optional Financial Captions fields declared for each category. These fields will only appear if specifically set-up by the user. A Financial narrative / comments field is provided.

Third Parties and Witnesses... See ScreenShot..

Allows any number of ThirdParties and Witnesses to be associated with the accident, with full Insert, Change, Delete facilities on each. Third Parties and Witnesses can only be maintained from within Accident maintenance and are not held on the System Addresses file. Both are entirely free-format, with sizeable narrative / comments.

There may be up to sixteen of these User-Defined fields. See General description of User-Defined fields, See also User-Defined Maintenance . These fields will only appear if specifically set-up by the user.

Financial Analysis (Enquiry)
Accidents may be selected for the enquiry for a single, or selection of, operating locations, Up to 50 individual Locations may be selected and combined in any selection invocation. The required range of Locations is Tag-Selected. A range of Dates may be given on a 'From - To' basis. Date selection acts upon the 'Date of Accident'.
An option is provided for treatment of Insurance Excesses. The 'Include' Option does include Insurance Excess Values; the 'Do not Include' option does not; whilst the 'Excesses Only' option includes only Insurance Excesses. The default is to 'Include' Excesses.
Finally, an option is given to Include 'Closed Accidents ' (those which have a 'Closed Date' recorded); 'Open Accidents' (those which do not have a 'Closed Date' recorded); and 'All Accidents'. The default is 'Closed Accidents'.
Accidents are scanned according to the criteria given, and values for number of accidents, estimated and actual costs aggregated by 'Accident Type'. Those types not having any aggregate values are excluded in the final presentation.

Locate ThirdParty / Witness
Provides a convenient means of relating a Third Party or Witness by name to the accident with which he/she is associated. Once the entity is located clicking on the ListBox takes the user to Maintenance for THAT accident on the presumption that some form of 'Change' activity may be required.
