Terms and Conditions
These Conditions of Hire relate to Whitehill Village Hall hereinafter referred to as the "Hall". The Hall is under the control of the Village Hall Management Committee. Any persons, aged over 21 years, associates or corporate bodies who hire the Hall shall abide by the following Conditions of Hire.
1 A cautionary deposit up to £100 will be charged for parties, weddings etc., and will be returned after the event if no damage has occurred.
2 All monies to be paid fully before date of hiring.
3 It is recommended that when preparing food on the premises, at least one person involved in the preparation should have a Food & Hygiene Certificate. This is to ensure the safety of the food being prepared. The responsibility for insuring the safety of the food prepared is placed on those who are using the premises and not on the Village Hall Committee. The small sink is designated a hand-washing sink only and should NOT be used for food preparation or washing up of china etc. Food must never be left in the Village Hall, even in the refrigerator.
4 In deference to our neighbours please keep music to reasonable levels. We do have elderly people and young families living close by, so please ask your guests to leave quietly.
5 People using the Hall should acquaint themselves with the current licensing conditions. The sale of alcohol is only permitted with a license and it is the sole responsibility of the people using the Hall to apply for this license.
6 The hirer must have adequate public liability insurance cover.
7 On vacating the Hall please ensure all doors and windows are shut, the door is locked, so that the Hall is left in a safe and secure condition.
8 When separate hirers hire both the Main Hall and Committee Room simultaneously consideration must be given to the other user regarding noise and use of shared facilities (eg use of kitchen). Please leave the Hall quietly at end of Hire. The Committee Room users may leave via the Side or the Committee Room Fire Exit door and SHOULD NOT USE THE FRONT DOORS VIA THE MAIN HALL if Main Hall is still in use.
9 Should additional mess be made, for example excessive trampling of muddy footprints across the lobby/toilets floor, you are asked to give the floor a quick mop over. Whilst the cleaner is responsible for an in-depth clean, she is not able to check the hall after every period of hire; there are more than one hirer on most days of the week.
10 The hirer shall be responsible for all fixtures, fittings and furniture of the Hall during the period of hire and the conduct of all persons admitted to the Hall.
11 Do not fix decorations, banners Etc to the wall or woodwork by any method likely to cause damage.
12 The committee shall not be held responsible for any loss or damage sustained to personal property or vehicles in or on the Hall property.
13 All keys must be returned immediately after the hiring of the Hall to the prearranged address.
14 The times of any hire shall be agreed in advance and must not be altered without prior agreement of the Bookings Clerk. The period of hire shall include any time needed for both setting up and clearing up at the end of hire. Any run-over will be charged as per tariff. The hall must always be vacated by 11.30pm.
15 The hiring of one or more rooms allows the hirer to use the kitchen free of charge, but the use of any other room not paid for will be charged as per tariff.
16 The committee shall not be responsible for the repairs or cleaning of any fixtures and fittings supplied by the hirer.
